What we collect, and why
When you fill in our enquiry form, we receive your name, email address, phone number, rough budget and whatever you write in your message. We use this to reply to you and to discuss your project — that’s all. The legal basis is our legitimate interest in responding to enquiries you’ve chosen to send us.
When you email or phone us, we hold the correspondence and contact details you give us, for the same purpose.
If you become a client, we hold the information needed to carry out the work and meet our legal obligations — contact details, site address, quotations, invoices and project records. The legal basis is the contract between us, and legal requirements such as tax record-keeping.
We do not run marketing lists, send newsletters, or buy or sell personal data.
Where your information lives
Our website is hosted by Krystal Hosting Ltd in the United Kingdom. Enquiry form messages are delivered to our email, which is provided by Zoho and stored on servers in the European Union. Like almost every website, our hosting keeps routine server logs (IP addresses and pages visited) for security purposes, which are automatically deleted on rotation.
Cookies and tracking
This site does not use advertising trackers or analytics cookies. WordPress, which powers the site, may set minimal technical cookies needed for the site to function. Our pages load fonts from Google Fonts, which means your browser requests the font files from Google’s servers — Google may log the IP address making that request.
How long we keep things
Enquiries that don’t become projects are deleted within two years. Client and financial records are kept for seven years, as tax law requires, then deleted.
Your rights
Under UK data protection law you can ask us what information we hold about you, ask us to correct it, or ask us to delete it (where the law doesn’t require us to keep it). Email info@polmennapools.com and we’ll sort it out. If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
